Guidelines how to use the Malta Import/Export Web Portal

Applications can be accessed through the Malta Import/Export Web Portal. Applicants are required to log in using their e-ID login and password.

Once logged in, an applicant can:

  1. Apply for a new import or export application
  2. View the status of submitted applications
  3. Amend or add documents to any submitted applications
  4. Download an issued licence or refusal notice
  5. Clone an application
  6. Cancel an application

1. Apply for a New Import or Export Application

Applicants can choose to submit either a New Import Application or a New Export Application by clicking on the relevant icon.

2. View the Status of Submitted Applications

Once an application is submitted, the applicant can view its status from the ‘Applications’ section.

3. Amend or Add Documents to Any Submitted Applications

Applications that contain incorrect or missing information will be returned to the applicant. The importer receives an email stating that the application was returned because it requires further information.

The applicant is to log in to the Malta Import/Export Web Portal using the e-ID login and password, navigate to the ‘Applications’ section, and find the application with the reference number indicated in the email (which is the same reference number provided when the application was submitted).

The application will now display a new tab: ‘Amend Application’.

Once the application is opened, remarks from the Commerce Department will appear at the top of the page in a blue box. After making the required amendments, the application can be resubmitted.

4. Download an Issued Licence or Refusal Notice

Issued Licence

Upon approval, the applicant receives an email stating that the licence has been issued and can be downloaded from the Malta Import/Export Web Portal.

The applicant must log in using the e-ID login and password, go to ‘Applications’, and find the licence with the reference number indicated in the email (which is the same reference number provided when the application was submitted).

The application will now display a new tab: ‘Download Licence’.

Refusal Notice

If an application is rejected, the applicant receives an email stating that the application was refused.

The applicant must log in to the Malta Import/Export Web Portal using their e-ID login and password, go to ‘Applications’, and find the application with the reference number indicated in the email (which is the same reference number provided when the application was submitted).

The application now has a new tab: ‘Refusal Notice’.

The refusal notice will include the reason why the application was rejected.

5. Clone an application

This feature is to be used when an applicant wishes to submit more than one application with the same importer and declarant details.

Once the ‘Clone Application’ tab is selected, the applicant only needs to input the details in Section 1 and Section 3.

6. Cancel an application

An applicant can cancel a submitted application at any stage.  He/she can ‘View Application’ and press the ‘Withdraw’ button at the bottom of the page.
